# The book of Paperwork

Paperwork exists and grows exponentially. Hopefully together we can grow the templates faster than the requirements.

## RAMS for events

If your space is attending an event you are likely to be asked for a Risk Assessment and Method Statement. Officially they should first provide you with the event's own RAMS but more than likely you will just be asked for yours.

If you have not received the organisers RAMS or site plans, note this in the "Show Specific Risks".

Please be aware under CDM Regulations, all public events and any event including children count as "High Risk".

The link below is more a RA (Risk Assessment) with some MS's (Method Statements).

It does need some maker additions adding (3d printers etc) but will cover all the basics as is. Import it into your preferred Spreadsheet program, edit and then print/export to pdf in Landscape.

# Health and Safety

## Health and Safety Policy
A health and safety policy sets out who is responsible for which aspects of ensuring safety in your
space. It is a [legal requirement](https://www.hse.gov.uk/simple-health-safety/policy/index.htm)
for companies with more than 5 employees, but it's good practice to have one even if you aren't an
employer. We recommend all spaces have a health and safety policy.

We provide an [example health and safety policy](./health-and-safety-policy.md) for hackspaces.
You should:

* Copy this policy and edit it so it accurately reflects your situation
* Publish it so it's accessible to users of your space
* Periodically review the policy to ensure it's still accurate

## Incident Reporting
The UK Hackspace Foundation operates an incident reporting system so we can identify trends, notify member spaces,
and improve our guidance. We strongly encourage spaces to report incidents to us, to help us improve
safety for all spaces.

This system does not replace your internal incident report system. Users of your space should
report any incidents to your organisation first.

We've produced a set of documents for common tools to act as templates for spaces when producing their own documentation and risk assessments.

# Sample Health and Safety Policy

This is an example Health and Safety Policy for a hackspace. You should use this policy as a template
for your own health and safety policy, and review it periodically.

## Introduction
This is the health and safety policy for *Name of Space*. It sets out our approach to health and
safety and your safety responsibilities when using the space.

This policy was last updated on *date* and should be reviewed before *review date*.

## Responsibilities

* The Directors/Trustees are responsible for creating a safe environment by identifying the risks and maintaining tools, equipment, and spaces in good working order
* Space users (members and visitors) must follow all safety guidelines, use equipment properly, and report hazards or unsafe conditions to the Directors/Trustees
* Everyone must take responsibility for their own safety and the safety of others while using the space

## Risk Assessment

Before any new tool or process is introduced, a risk assessment must be completed. The assessment should:

* Identify any risks involved in the activity
* Evaluate the likelihood and impact of harm
* Determine appropriate control measures to minimise the risk

This risk assessment should be completed by the Directors/Trustees and made available to space users. It must be reviewed regularly and updated when there are changes to activities, tools, or the environment.

Before using a tool or process, space users should familiarise themselves with the risks by reading the risk assessment
or other documentation provided.

## Training

The risk assessment may require training for some tools or processes. Space users must ensure they are correctly
trained before undertaking work with these.

## Personal Protective Equipment

Appropriate personal protective equipment (PPE) must be used when necessary, particularly when using machinery, tools, or handling hazardous materials.

The Directors/Trustees must ensure PPE is available and that space users understand how to use it correctly.

## Incident Reporting

Space users must report all accidents, injuries, or near misses to the Directors/Trustees as soon as possible.
